Overlapping Claims Policy

Use the following policy when creating an estimate for a vehicle with overlapping claims. See the Overlapping Claims estimating standard for additional information and for procedures for removing overlapping repair labour on subsequent claims.

  • For the scenarios below involving Paintless Dent Repair (PDR) claims, refer to the Paintless Dent Repair (PDR) - Hail estimating standard for more information on eligibility, rates, and allowances.

When removing or changing paint time on an estimate, review and adjust clear coat amounts according to the paint time changes. Refer to the Clear Coat estimating standard for allowances.

When adjusting any labour, the subsequent claim must be reviewed by the estimator or repair shop to ensure that all overlaps have been accounted for and have been removed. Any overlapping labour that is removed must be reported in the journal notes of the estimate.

A specific My Template item, based on labour type (Body, Refinish, Frame, Mechanical, PDR) must be entered for each different overlapping labour description type.

Create an estimate for the new damage only. Do not include any repairs/parts from the previous claim(s) on the new estimate.

Note, the maximum allowance for clear coat applications applies over multiple claims; however, blend may appear on multiple estimates, as needed.

If any of the new damage overlaps previously claimed damage, see #2 below.

On the subsequent claim, add the applicable My Template item after the first overlapping part line and enter a total negative amount for all overlapping labour (of the same type).

Add an explanation line listing the original claim number and indicate this is an overlap. Create an explanation line for each additional overlapping part, and indicate that this is an overlap.

If new damage requires a part to be replaced, see #3 below.

Any R&I labour times now included in the R&R time need to be adjusted with a negative amount.

Add an explanation line listing the original claim number and indicate this in an overlap. Create an explanation line for each additional overlapping part and indicate that this is an overlap.

Any additional damage to a panel that is being replaced on a previous claim will be handled on that claim. On the subsequent claim, add a repair line from CEG for each overlapping part with a labour operation type of Access/Inspect and zero labour. Add an explanation line for each overlapping part and indicate are being replaced on the previous claim and include the claim number.

The estimator will determine the most cost effective repair option for collision damaged panels with overlapping hail damage. Either additional conventional repair allowance or the appropriate PDR calculator range value will be selected.

The panel access allowance must be adjusted to avoid any overlap from the R&I on the original claim. Add the applicable My Template item after the PDR Hail line.

Add a negative dollar amount to adjust the overlapping PDR panel access allowance. See Paintless Dent Repair (PDR) – Hail for panel access allowances.

On the subsequent claim, add the applicable My Template item after the first overlapping part line and enter a total negative amount for the PDR cost for any panel(s) that will now be replaced.

  • For example, if the cost of PDR on a panel is $250 on the original claim, add an overlapping PDR line for $-250 on the subsequent claim to cancel out the original PDR amount.

Add an explanation line listing the original claim number and indicate this is an overlap. Create an explanation line for each additional overlapping part and indicate that this is an overlap.

Note the panel access allowances in Paintless Dent Repair (PDR) – Hail and if applicable, adjust all or part of the panel access allowance to account for the overlap on the previous claim.

  • For example if there are now 5 panels being repaired by PDR instead of 6 (due to R&R overlap), subtract the difference in the panel access allowance ($250 - $200 = $50). The adjusted amount in this situation would be $50.

If any paint is damaged (cracked/broken) during the PDR process, the applicable panel must be changed to conventional repair on the original PDR claim. See in Paintless Dent Repair (PDR) – Hail. The subsequent claim must then be adjusted for any overlap. (See #12 below)

Additional Hail - PDR

If there are two hail claims on the same vehicle, where the combined cost of PDR for both claims does not exceed the cost of conventional repairs on one or more panels:

  • Calculate the total PDR amount for the combined hail damage on the vehicle.
  • Paste the new amounts into Remarks on the subsequent claim.
  • Review the hail dent ranges for each panel on the original claim.
  • Adjust the cost of any panels that have additional hail damage resulting from the subsequent claim, so that the original PDR amount and new PDR amount add up to the correct total PDR cost for each panel. Add an explanation line on the PDR Hail line and indicate that the revised costs are to account for the overlap.
    • For example, if a panel had very light damage (1-5 dents) for a PDR cost of $150 (original claim), and the panel now has light damage (6-15 dents) due to additional damage (subsequent claim) for a total PDR cost of $250. Adjust the PDR allowance by adding a negative amount on the subsequent claim to adjust the overlap between the two claims ($150).

An additional panel access allowance only applies if there are new hail damaged panels on the subsequent claim, and the total number of panels is over the original claim’s panel access allowance threshold (see Paintless Dent Repair (PDR) – Hail).

Add the applicable My Template item after the first overlapping part line. Add a negative dollar amount for the overlapping panel access fee.

Add an explanation line to the PDR line listing the original claim number and indicate this is an overlap. If the additional hail damage causes the panel(s) to exceed the cost of conventional repairs.(See #14 below)

If additional hail damage to a vehicle causes one or more panels to require conventional repairs, then estimate using conventional repair process for the affected panel(s).

On the subsequent claim, add the applicable My Template item after the first overlapping part line. Add a negative dollar entry to adjust the overlapping PDR amount.

Add an explanation line listing the original claim number and indicate this is an overlap. Create an explanation line for each additional overlapping part and indicate that this is an overlap.
